The short answer

An offline status usually means Windows cannot communicate with the selected printer. Confirm the printer is awake, inspect its display, check USB or network connectivity, and make sure you selected the correct printer. Then investigate the queue and Windows troubleshooting tools.

Before you begin

Canceling print jobs removes them from the queue; keep the original documents so you can print again. Do not factory-reset a printer or remove a managed office printer without knowing its setup details.

1. Check the printer itself

Start at the physical printer rather than the Windows status message. Wake its display, confirm paper is loaded, and read any error. A paper jam, open cover, or required acknowledgment may stop work even though the device has power. Resolve the specific displayed problem using the model’s manual.

If the printer offers a local information or test page, print that from its own controls. A successful local page shows the print mechanism can work without the PC. It does not prove the connection to Windows is healthy, but it tells you where to concentrate next.

  1. Make sure you are checking the printer that Windows is actually addressing, especially in a home or office with several similar models.
  2. If the local test page fails, resolve that hardware or supplies problem first.

2. Follow the connection path

For USB, reseat the cable at both ends and try a direct computer port instead of a hub. A charging-only cable is not suitable where data is required. Avoid changing several ports and drivers at the same time because you will lose track of what helped.

For Wi-Fi, compare the printer’s network information with the PC’s connection. A guest network or client-isolation setting can prevent devices from reaching each other. A printer’s Wi-Fi Direct connection is separate from your normal home network. Use the printer’s own network status page or manual to establish what it joined.

  1. If the router name or password recently changed, reconnect the printer using its manufacturer’s instructions.
  2. If another computer can print, focus on the affected PC. If no computer can print, focus on the printer and shared network.

3. Inspect the Windows entry and queue

In Windows 11, open Settings > Bluetooth & devices > Printers & scanners. Choose the intended printer and inspect its print queue. Old duplicate printer entries can send jobs to an address or device that no longer exists. Confirm the model and connection rather than repeatedly clicking Print.

If the queue exposes Pause Printing or Use Printer Offline controls, make sure those options are not selected. The exact interface varies with the driver and Windows version; do not hunt for a menu that your printer does not provide.

  1. Cancel a stuck job only after saving its original document. Wait for the queue to clear before sending one small test.
  2. If several copies are queued, cancel the extras before restoring connectivity to avoid an unexpected stack of pages.

4. Restart and use official diagnostics

Restart the printer with its normal power control, let it finish starting, and restart Windows after saving work. If several network devices are also disconnected, investigate the router separately. A printer restart is a smaller intervention than resetting the whole home network.

Run the Windows printer troubleshooter in Get Help. If it identifies a driver or configuration issue, use Windows Update or the exact manufacturer’s official support page. Match the printer model and Windows architecture; avoid third-party driver download sites.

When removing and adding the printer is appropriate

Re-adding a printer can help when Windows has a stale installation, but gather connection details first. Record its exact model, network name, any special paper settings, and whether scanning depends on manufacturer software. Ask IT before removing a workplace queue.

If the printer repeatedly returns offline, note whether it follows sleep, router restarts, or a network change. Share those observations with the manufacturer. Replacing ink or toner is unlikely to repair a communication failure unless the printer itself explicitly reports a supplies error.
